Privacy Policy of the Ottawa Chamber Music Society

At the Ottawa Chamber Music Society (the “OCMS”), we understand that privacy is important to you and are committed to protecting personal information by establishing procedures to receive and respond to complaints and inquiries, training staff and volunteers, and explaining our policies in this regard. This Privacy Policy outlines the ways in which the OCMS collects, uses, discloses and manages personal information.

What is Personal Information?

“Personal Information” is information about an identifiable individual, and includes your name, home phone number, home address, email address, bank and credit card numbers, as well as information about the purchases you make and your membership with the OCMS.

Our Policy About the Collection, Use and Disclosure of Personal Information

(i) We Tell You Why We Will Collect, Use or Disclose Personal Information

The OCMS collects personal information from individuals for various purposes that enable us to present chamber music of the highest calibre. We use personal information to learn more about our audiences, fundraise, and communicate with you about our programming and special events. The OCMS will make every reasonable effort to identify the purposes for which your personal information is being collected and to tell you about these purposes at or before the time of collection. Depending upon the way in which the information is collected, this can be done orally or in writing. We will also make every reasonable effort to tell you when your personal information will be used for a purpose not previously identified before we use this information for a new purpose.

(ii) We Seek Your Consent

The OCMS will not collect, use or disclose personal information for purposes other than those for which it was collected, except with your consent or as required by law. The OCMS will not, as a condition of the supply of a product or service, require you to consent to the collection, use, or disclosure of personal information beyond that which is required to fulfil explicitly specified and legitimate purposes. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. If you withdraw your consent, the OCMS will make reasonable efforts to inform you of the implications of such withdrawal.

(iii) Our Retention Policies

We will retain your personal information only as long as it is necessary for us to fulfil those purposes and will implement retention policies that include minimum and maximum retention periods. Personal information that is no longer required to fulfil the identified purposes will be destroyed, erased, or made anonymous in accordance with our retention policies.

(iv) Keeping Your Personal Information Accurate and Up-to-Date

The OCMS ensures that the personal information we keep is as accurate, complete, and up-to-date as possible.

(v) We Implement Safeguards to Protect Your Personal Information

The OCMS protects your personal information with security safeguards appropriate to the sensitivity of the information. These security safeguards protect your personal information against loss or theft, as well as unauthorized access, disclosure, copying, use, or modification. The methods of protection include (a) physical measures, such as storing personal information in locked filing cabinets and by restricting access to such places in our offices where personal information is retained and (b) through technological measures such as the use of passwords and encryption. The OCMS ensures that our employees are aware of the importance of maintaining the confidentiality of personal information. We also utilize contractual means to bind third parties that assist us in delivering our products and services (such as the mailing houses that deliver our season handbook and third party ticketing services) to follow applicable privacy legislation and the same strict privacy controls that we ourselves use.

(vi) We are Open about our Policies Respecting Personal Information

The OCMS is committed to being open about our policies and practices relating to the management of personal information and we will further advise you of these policies upon request.

(vii) We will Provide You With Access to Your Personal Information

The OCMS will, upon request, inform you of the existence, use, and disclosure we make of your personal information and provide you with access to that information. You can challenge the accuracy and completeness of the information and have it amended, as appropriate, should you wish to do so.

The OCMS acknowledges that it is responsible for personal information under our control and has a designated Privacy Officer who is accountable for ensuring that we comply with our privacy obligations.
